When arranging a POP VIP transfer for someone else, clearly identify the lead traveller, the name requested on the pickup sign and a contact reachable with the arriving party. Give your own details separately as the organiser. Before travel, ask POP VIP to confirm the arrangement and make sure the passenger receives the instructions. The person requesting the ride, the passenger and the person paying may be different people. The booking should make those roles clear.
Separate the organiser from the travelling passenger
Start your request by explaining that you are arranging transport for another person. For example, if you are booking your parents’ journey to a hotel in Sosúa, your own name may identify the conversation with POP VIP. It does not necessarily identify the people the driver should meet. Keep these details distinct:
- Organiser: your name and contact details, with a note that you are not travelling.
- Lead traveller: the name of an adult taking the transfer.
- Pickup-sign name: the name you would like displayed, for POP VIP to confirm.
- Arrival-day contact: a number accessible to someone travelling with the party.
- Payer: who intends to pay, with the payment arrangement confirmed separately.
One person can fill several roles. The important point is that nobody has to guess.
Agree the name the passenger should look for
POP VIP describes an arrival meeting with a name sign. Ask which name will appear on that sign, then tell the traveller exactly what has been agreed. Do not leave the passenger looking for their own name if you have requested yours instead. If the accommodation reservation uses a different name, identify it separately. A pickup-sign name and the name on a hotel or villa booking do not have to mean the same thing.
Provide a contact that travels with the group
Your phone may be suitable for organising the booking but less useful when the passenger reaches arrivals—especially if you are asleep, working or in another time zone. Provide a travelling contact and explain which number belongs to whom. Include the country code and check that the passenger can access the WhatsApp account you supply. Do not assume that a travel eSIM changes the person’s WhatsApp number. Confirm the number they will actually use.
If the traveller cannot use WhatsApp, explain that before travel and ask POP VIP to confirm a suitable communication arrangement.
Send the journey details from the traveller’s itinerary
Use the flight that actually arrives at Puerto Plata Airport, identified by the airport code POP, and its local arrival date. Alongside the flight information, provide:
- The exact hotel, villa or other destination.
- The number of adults, children and infants travelling.
- Suitcases, cabin bags and any unusual equipment.
- Requested child seats or assistance requirements.
- The travelling contact’s details.
If the property is not listed or the name is ambiguous, send the address and ask dispatch to confirm the destination. Request the vehicle for the party and luggage actually travelling, rather than treating your own requirements as the default.
Clarify payment without making assumptions
If you intend to pay for the passenger, say so before the journey and ask POP VIP which arrangement is available. Do not assume that sending the request means the fare has been paid, that a card can be charged remotely or that the passenger will never be asked about payment. Ask for written confirmation of:
- The complete quoted amount and what it covers.
- Who is expected to pay.
- The agreed payment method and timing.
- Any invoice details you need to provide.
If a company requires an invoice or reference, ask about that before confirming the arrangement. Do not promise your colleague a particular billing process until POP VIP has agreed it.
Give the traveller a usable confirmation
‘I’ve booked you a car’ is not a complete handoff. Once the arrangement is confirmed, send the passenger:
- The agreed pickup-sign name.
- Their flight and local arrival date.
- The confirmed destination.
- The meeting instructions supplied by POP VIP.
- The saved contact for the transfer team.
- The payment arrangement relevant to them.
Forward the confirmed information yourself rather than assuming that an automated message will reach the guest. Ask them to check it before departure and save a copy they can open without internet access.
Decide how changes will be communicated
Ask POP VIP who should contact the team if the flight, destination or passenger details change. Make clear whether the traveller can request changes directly or should involve you first. Any proposed change in price or service should be reconfirmed with the appropriate people. Avoid having the organiser and passenger send different instructions in separate conversations. If you receive a revised confirmation, pass it on and clearly identify which earlier version it replaces.
An enquiry is not a confirmed booking, and an unacknowledged message should not be treated as an accepted change.
Use this request template
Replace the placeholders with the actual travelling party’s details. Share only the information needed to arrange the journey. Do not include payment credentials or unrelated identity documents in a general enquiry.
