Count adults, children and infants, then explain whether everyone travels on the same flight. Separate arrivals may need separate collections rather than one nominal group booking. Include the booking contact who can communicate with dispatch if a traveller's itinerary changes.
Describe what will occupy the luggage space
List checked suitcases, cabin bags, strollers and special items. Send dimensions for anything unusually long, rigid or bulky. Passenger numbers alone do not establish whether a particular vehicle can take the load safely, and selecting VIP does not create unlimited storage.

If someone needs help entering the vehicle or travels with a wheelchair, describe the requirement separately from the bag count. Do not assume a vehicle has a ramp, lift or suitable restraint system. Dispatch must confirm an appropriate arrangement before a booking is accepted.
Keep split itineraries visible
A wedding group or extended family may have several hotels and departure dates. Send those movements as an organized list instead of hiding them in a luggage note. Any additional vehicle, stop or pickup needs its own clear scope and written confirmation.

Hotel name, flight number, date and party size. We reply with the fixed rate, track the flight and meet you inside arrivals with a name sign. Pay the driver on arrival.
