Read the local arrival date beside POP on the arriving flight and the local departure date beside the airport used for the return. Send the itinerary if those dates are ambiguous. The following dates are invented planning examples, not operating flight schedules or promises about pickup times.
Choose the flight that reaches the pickup airport
For a journey with connections, identify the final flight into POP rather than only the flight leaving your home city. Include its flight number and the local arrival date shown by the airline. If the booking uses another arrival airport, tell dispatch explicitly; it changes the road-transfer request. The team should not have to infer an airport change from a travel date that still looks the same.
Read an overnight arrival from the destination column
Consider an invented itinerary leaving home on 2026-11-23 at 23:10 and arriving at POP on 2026-11-24 at 00:20. The airport arrival belongs to 2026-11-24. These example times are not a timetable, and the transfer meeting happens after the airport process rather than at the aircraft's landing minute. Check your actual airline record and use the destination's local date, even if friends at home still describe the journey as the previous night's departure.
Keep the return flight date separate from hotel collection
In another invented example, a flight departing POP on 2026-12-04 at 00:30 may require collecting the group on 2026-12-03. The exact collection time must be agreed using the airline's requirements and the actual hotel address. Enter the flight's departure date correctly, then obtain a written pickup date and time from POP VIP. Do not change the flight date merely to make it match the evening you expect to leave the property.
Replace old itinerary details when the airline changes them
A revised flight number, date or airport needs to reach dispatch as one clear update. Explain which booking it replaces and whether the whole group is still travelling together. A delay notice and a replacement reservation are not always the same thing. Save the latest confirmed transport reply so the person meeting the driver is not relying on a screenshot from a superseded itinerary.
Review the two directions as two airport handoffs
A return reservation can contain an arrival at one airport and a departure from another, or a change of hotel during the stay. Send those differences before accepting the arrangement. The flight information belongs to each airport movement separately, while the accommodation address describes where the road journey begins or ends. Keeping those details distinct is more reliable than writing a single holiday date range in the notes.
Do a short final check before sending
Compare the request with the airline's current record: airport code, arriving or departing flight number, local flight date, passenger count and accommodation. Then check that a travelling guest can receive dispatch messages. If a field cannot describe your itinerary clearly, explain it in the notes and wait for the team to confirm the arrangement. Correct flight data supports a calm VIP arrival; it does not bypass airport procedures or guarantee an onward connection.
