Before booking, obtain the relevant airline acceptance and give POP VIP the device dimensions, weight, passenger seating and assistance requirements. Ask for explicit confirmation of a suitable road arrangement. A vehicle's passenger count or luggage description is not evidence that a powered device can be loaded or that its user can board safely.
Identify each provider's responsibility
Contact every operating airline about the device and any connections, rather than assuming one answer covers the whole itinerary. Arrange airport assistance through the appropriate channel and ask where the device will be returned. Send POP VIP the road requirements separately. These confirmations need to work together, but none should be represented as permission or a guarantee supplied by a different provider.
Prepare a device brief the providers can assess
Collect the manufacturer's handling information, battery type, dimensions in travelling configuration, weight and whether components can be removed. Follow the airline's device-specific instructions and ask about any approval it requires. Do not apply ordinary power-bank rules to a wheelchair battery. Keep sensitive personal documents out of a general transport note; the useful road information concerns safe loading, passenger seating and the assistance actually required.
Confirm boarding and loading without assumptions
The existing vehicle guidance states no ramps or lifts. Explain whether the passenger can transfer to a vehicle seat and what assistance that involves; do not assume the driver can lift or physically transfer a passenger. The device weight, loading method and storage space must be reviewed independently of headcount. If the required arrangement cannot be confirmed, resolve that before accepting a booking instead of treating the VIP label as an accessibility specification.

Connect the airport handoff to the property entrance
Ask where the passenger and device will be ready after the arrival process and share that information with dispatch. Check the accommodation's steps, paths and vehicle access directly with the property. If any provider changes the handoff, update the others. A suitable road vehicle does not establish that a boat, private-community gate or hotel entrance can receive the passenger in the same way.
Prepare the return before packing for departure
Keep the agreed device and assistance requirements with the return booking and report any equipment or address changes. Coordinate airport assistance separately for the departing flight. Have the device and luggage ready according to the confirmed plan before vehicle collection, leaving space for an unrushed handoff. Dispatch should receive the current itinerary, not an assumption that the outward journey automatically settles every detail of the return.
